We get started right away by providing vendor recommendations and answering any venue questions you may have! You handle securing vendors and the preliminary planning, then at 3 months prior to your wedding we step back in to handle vendor communication, create your diagrams and timeline, and ensure every detail has been addressed. Having planned over 115 events at the Skybox we are EXPERTS in this space and can confidently help you create a beautiful wedding day!
Upon booking, our Preferred Vendor List, Music Template, Ceremony Script Examples and Gratuity Guide are provided
12 month Planning Checklist (customized to the Skybox) is provided
Welcome Call to review Initial Planning Documents once contracted
Communication with Lead Coordinator begins 3 months prior to your wedding
Planning support throughout contracted service time
Up to three meetings prior to event (includes a walkthrough at the Skybox with appropriate vendors)
Client contacts all vendors for availability and collects all contracts
Review all hired vendor contracts, including catering and rental order(s)
We prepare the ceremony and/or reception diagrams
Create and manage Day of Timeline
In communication with all hired vendors throughout contracted service time
Review final details with all vendors one week prior to event
Collect seating charts for the Ceremony and/or Reception
Coordination of Ceremony Rehearsal
After rehearsal we will collect all personal items and final payments for vendors
Your Lead Planner will contact any vendors that need your hotel room number for your wedding day
Lead Planner and one assistant for the day of your event
Your Lead Planner will arrive 30 minutes prior to first vendor’s arrival
Confirms parking details with attendant for you and your guests
Confirms the venue is in perfect condition and ready for vendor’s arrival
Greets Vendors
Reviews the floorplan with Caterer and Staff
Lead Planner will review the schedule for food and bar service with Banquet Captain
Day of Coordination of all vendors
Set-up of personal décor items (card box, guest book, seating chart, guest favors, cake topper, etc.)
Emergency Kit available at all times
Arrange and set all escort cards or place cards and seating chart
Verify floorplan for placement of tables and correct quantity of chairs
Greet guests upon arrival to 15th Floor
Ensure wedding party and family members have appropriate personal flowers upon arrival to the venue.
Your Lead Planner will confirm possession of rings prior to the ceremony
Organize those involved in the Ceremony and cue Ceremony music
Assist your witnesses while they sign your marriage certificate
Transfer personal decor items from Ceremony site to Reception site
Assist in escorting guests through event spaces
Help guests find their tables as necessary
Organize Wedding Party for Grand Entrance
Work hand in hand with DJ / Emcee to ensure Day of Timeline and announcements are executed as planned
Cue those who are giving speeches
Monitors condition of the venue throughout event
Distribute vendor gratuities and any final payments due
At the end of the event, Lead Planner loads any leftover beverages and personal décor items into Client’s car
Oversees load-out of all vendors
Performs a walkthrough with Security at conclusion of load-out
